Task Guide: Drafting & Reviewing a Bilingual Museum Loan Agreement

Alpha status (14 October 2026): XiWrite is planned and its public installer is not verified. This page describes the checked WordCraft foundation; XiKey integration is still in progress. Alpha is free today.

Scenario Overview

In this guide, you will prepare a bilingual (Arabic / English) international exhibition loan agreement between two maritime history museums, add structured form fields for courier and insurance declarations, review legal counsel revisions using Track Changes and Document Compare, and export a reviewed PDF contract.

Step 1: Build a Parallel RTL / LTR Clauses Table

  1. Create a new document (Ctrl+N) and set margins to 20 mm all around on the Layout tab.
  2. Insert a two-column table (Insert › Table › 2 × 12) for parallel bilingual clauses:
    • Select the right column, go to the Home tab, and click Right-to-Left Paragraph Direction (←¶). Set Arabic clauses to right alignment as well as RTL direction, then inspect mixed text.
    • Select the left column and set Left-to-Right Paragraph Direction (¶→) for the English text.
  3. For standalone Arabic schedules later in the annex, insert a Section Break (Next Page) and toggle Right-to-Left Section Order on the table or multi-column section so column 1 starts on the right margin.

Step 2: Insert Structured Form Controls for Condition & Insurance Annexes

  1. Scroll to Annex B: Object Condition & Courier Escort Declaration.
  2. On the Developer tab, add content controls for the following fields:
    • Text Form Field: Crate climate-sensor serial number and Indemnity Certificate ID.
    • Date Picker Field: Loan commencement and return dates.
    • Drop-Down Form Field: Transport mode (Air Freight – Pressurized Hold, Climate-Controlled Van, Hand-Carried Courier).
    • Check Box Controls: Humidity data logger verified, Shock-watch indicator armed, and Fine-arts wall-to-wall coverage attached.

Step 3: Compare Drafts and Review Legal Revisions

  1. When external counsel returns an edited .docx draft (loan-agreement-counsel-v2.docx) without revision tracking enabled, open your baseline draft and select Review › Compare Documents.
  2. Choose the baseline file and counsel's revised file. XiWrite diffs the paragraph and run structures and highlights insertions, deletions, and formatting changes as tracked revisions.
  3. Toggle Review › Track Changes on for your own counter-edits, and attach Comments (Review › New Comment) on the environmental humidity tolerance clause (50% ± 5% RH).
  4. Step through each modification using Previous / Next Change on the Review tab, clicking Accept or Reject until all changes are resolved and comments are marked complete.

Step 4: Prepare the Distribution Copy, Watermark and Export PDF

  1. Prepare a separate distribution copy containing only information you intend to share. Remove private values and resolve comments and tracked changes before export; ordinary deletion in a tracked draft is not secure redaction.
  2. Use Design › Watermark if a visible copy label is needed.
  3. Export standard PDF and inspect the actual file before distribution. PDF/A certification and a built-in permanent-redaction workflow are not established.
