Task Guide: Redacting and Archiving a Biomedical Calibration Dossier

These instructions describe the checked PdfCraft foundation as of 14 October 2026. XiPDF Alpha is free; public installer availability and XiKey integration are not yet verified.

Scenario

A biomedical metrology laboratory is publishing an equipment validation dossier for an external regulatory audit. Several scanned calibration certificates must be made text-searchable via OCR, proprietary vendor serial numbers and technician signatures must be permanently redacted from the PDF content streams, document metadata must be scrubbed, and the final file must be prepared for archival review; PDF/A conversion is partial.

Step-by-Step Workflow

1. Run OCR on Scanned Certificates

  1. Open the calibration dossier (Ctrl+O / Cmd+O).
  2. Select scanned pages and run OCR. The checked OCR recognizes unaccented Latin only. Review the text layer against the certificates; Arabic scans need another verified OCR tool.
  3. Press Ctrl+F or Ctrl+Shift+F to search for the internal serial prefix across the entire document.

2. Mark and Permanently Apply Redactions

  1. Activate the Mark for Redaction tool and drag redaction boxes over the proprietary serial numbers and handwritten technician signatures.
  2. Review every redaction mark in the document. At this stage, marks are preview outlines.
  3. Run Apply redactions to remove supported content. If a page is refused, do not release it as redacted. Save a separate copy and verify text, images and attachments before sharing.

3. Scrub Hidden Metadata, Convert to PDF/A-2b, and Sign

  1. Run Sanitize document, then inspect Document properties (Ctrl+D / Cmd+D). Editing property fields alone does not remove all hidden information.
  2. If PDF/A-2b is required, use the partial PDF/A conversion and check the saved result with an independent validator before archive acceptance.
  3. If your laboratory requires cryptographic sign-off, apply a PKCS#12 (.p12 / .pfx) digital signature and save the finalized archive via Ctrl+Shift+S (Cmd+Shift+S).
